From the purchase order to the audit trail

FactoryStream keeps one thread through a factory: what was ordered, what it was agreed to cost, what was made, what was checked, what went on the vehicle, and who did each of those things. Every step below is a screen that exists in this application.

1 Set up your workspace

Create a company account and you become the Factory Admin of your own workspace. Your records carry your factory key, so they are never mixed with anyone else's.

Companies
2 Add your team and their access

Add users and shape what each can do, module by module and action by action, with per-user overrides on top of role defaults. Every permission is enforced on the server.

Users & Roles
3 Set up customers, sub-brands and ship-to locations

File the companies you supply, their sub-brands and the locations you deliver to. Nothing is deleted - a customer you stop supplying is archived and can be restored.

Companies
4 Bring purchase orders in

Upload the PO exactly as the customer sent it - CSV, Excel, PDF or a photo. FactoryStream reads it and works out which column carries the rate from the file's own headings.

Manage POs / Upload PO
5 Check every line against the agreed rate

Each line is priced against the approved rate for that exact company, sub-brand, location, product, packing and PO date. A line that differs is flagged, not quietly approved.

Manage POs
6 Keep one agreed price list

Rate Master holds the approved rate per scope. Rates are versioned and effective-dated, so filing a new rate never overwrites history and never reprices an order already placed.

Rate Master
7 Load a price sheet in bulk

Cost Sheet intake reads a whole price sheet, stages it, and shows you every row that needs a decision with the reason. Only the rows you approve become rate versions.

Rate Master / Cost Sheet
8 Plan what must be ready and when

Turn approved PO lines into customer schedules, release partial quantities, derive loading dates and see shortages before they become a dispatch problem. The original PO never changes.

Planning
9 Control stock through WMS

Receive raw and packing material, reserve it, transfer it, count it and correct it through an append-only movement ledger. Balances are calculated from movements rather than typed over.

Stock / WMS
10 Record what you packed

Production captures output against the exact company, sub-brand, product and packing. Every worker entry goes to QC Pending rather than becoming usable finished stock immediately.

Production
11 Pass, hold or reject on quality

Quality verifies barcode, quantity, batch, packing/use-by dates and printed MRP. Only passed output is released to usable finished stock; holds and rejections remain on the record.

Production & QC
12 Keep barcode identity exact

EAN/UPC/GS1 and scanner mappings resolve to the canonical product and packing. A 500 g code can never silently become a 1 kg item, and conflicts require a person to resolve them.

Barcode / EAN
13 Load and make the final dispatch

Start from released Planning demand, reserve the required QC-approved stock, record what is physically loaded and confirm the vehicle out. Stock leaves only at Final Dispatch.

Vehicles & Dispatch
14 Reconcile the receiving-side GRN

Only after final dispatch, upload or record the receiving-side GRN against that load. FactoryStream keeps cumulative receipts visible and flags short or excess quantities without rewriting what was dispatched.

GRN
15 Track the trip to the doorstep

Each trip can carry a tokenised tracking link the driver opens in a browser, with nothing to install, while operational access remains isolated from the customer workspace.

Vehicles & Dispatch
16 Look back at what happened

History keeps the searchable operational record and the underlying movement, production, QC, dispatch and receipt evidence needed to understand what happened.

History
17 Send from your own mailbox

Configure your own outgoing mail server, keep To/CC contacts per customer, and see every send attempt - delivered or failed - in Email History.

Email
18 Prove who did what

The Audit Log is append-only: creates, edits, approvals, logins, logouts and permission denials, each with the actor, module, record and timestamp.
